Understanding Core Deposits and Refunds
What a core deposit is, how much it costs, and when you get it back.
What is a core?
A core is the old engine or transmission you are replacing. When you buy a remanufactured engine or transmission, the remanufacturer needs your old one back — they rebuild old cores into the next remanufactured unit to sell. That is why a core deposit is included in your order: it ensures the old part gets returned so the remanufacturing cycle can continue. When you return your old core, you get the deposit refunded.
What is a core deposit?
A core deposit is a charge included in the price of certain replacement parts — like engines and transmissions — that you get back when you return your old core. Think of it as a refundable deposit to ensure the old part is returned for remanufacturing or recycling.
How much is a core deposit?
Core deposits on ShopEarl range from $150 to $3,000, depending on the part type and seller. The core deposit amount is included in your order total and shown on your order details.
How do I get my core deposit back?
- After you receive your replacement part and have it installed, initiate a core return through your Orders page
- The seller provides a BOL (Bill of Lading) with freight pickup details
- Prepare your core — it must be drained of all fluids, complete, undamaged, and matching the part you purchased (see Preparing Your Core for Pickup)
- The freight company picks up your core and delivers it to the seller
- The seller inspects the core and processes your refund
When will I receive my core deposit refund?
Once the core is received by the seller, it can take up to 10 business days for the refund to be processed. The seller needs a few days to inspect the core, and refunds are often issued on a specific day each week.
After the refund is issued, it may take up to 10 days for it to appear on your bank or credit card statement. This is standard bank processing time and varies by financial institution.
What if my core is rejected?
Core rejections are rare. If the seller determines your core is incorrect, damaged, or unusable, you may receive a partial refund or no core deposit refund. To avoid rejection, make sure your core meets all the condition requirements listed in Preparing Your Core for Pickup.
How long do I have to return my core?
Cores should be returned within 30 days of your new part being installed. However, most sellers will accept core returns for up to 1 year after your order.
Important notes:
- The core return process is the same whether it is an engine or a transmission.
- All freight pickup is arranged by the seller. You do not need to ship the core yourself.
- If you miss a pickup, it is your responsibility to reschedule with the freight company.
